Workforce Validation Engine (WoVEn) ESR extraction schedule: 2024-25

The data that is used for the WoVEn report is a monthly snapshot extract from ‘live’ Electronic Staff Record (ESR). The ESR Central team extract specific fields that have been agreed, between NHS England and the ESR Central team, to be able to produce the WoVEn reports with the Validations agreed by the Workforce Information Review Group (WIRG) and ESR HR Special Interest Group (ESR HR SIG). This data is extracted, if possible, on the first Monday of the month. Please note: if there is a bank holiday Monday in a month or if the system is down for any reason, the data will be extracted as soon as possible after the first Monday in the month.

Due to the data being a snapshot of the live data in ESR, the day and time of the extract may vary due to various circumstances – the extract date is always included within the WoVEn report.

It is the ESR Central team that extracts the data. NHS England cannot be held responsible for delays occurring due to the ESR Extraction process.

Column 1 shows:

1. Ideally the latest date for the previous month’s WoVEn report error amendments in ESR. 
2. The last date Validation Override requests accepted by NHS England. Requests should be sent to [email protected] prior to the next month’s WoVEn Report data being extracted from live ESR.

Column 2 shows:

1. Date the ESR Central team aim to release to NHS England.
2. The date that the ESR Central team aim to extract the WoVEn ESR snapshot of live report data.

Column 3 shows:

1. Latest date by which NHS England aim to have released to all organisations.
2. This column shows the latest date by which NHS England’s WoVEn Workforce team aim to release the latest WoVEn reports for the month of extraction and WoVEn process (unless otherwise notified).
