How to download from the SystmOne resource library

Step by step instructions about how to upload data from your SystmOne clinical system directly into the National Diabetes Footcare Audit (NDFA) database.

How to download from the resource library

Log into the SystmOne unit you wish to download the resource to.

Click on System from the top tool bar then select Resource Library

In the search bar type in your organisation and then press enter. 

Find your organisation's NDFA data collection form and then press select.

Right click on the collection form and select download resource. A pop up will then appear. It is on a time limit and once it has counted down and you have read the message select ok

A user guidance message will appear. This message explains how to export the data for this questionnaire using SystmOne.  Select ok.

The pop up screen will ask you where you want to save the new questionnaire in your unit.  Select the appropriate place and click ok. 

You will then need to publish the questionnaire to all relevant units and pull into the clinical tree to start to use it.

How to export the NDFA Questionnaire as csv.

Click on reporting from the top tool bar.

Select Miscellaneous Reports.

Select Questionnaire Export.

Ensure all options are selected or unselected as shown (Dates are variable). 

Rename the file as you wish and click on choose to select a place to save the file.

 Be sure to select the correct questionnaire.

Ensure the latest version of the questionnaire is highlighted.

Be aware every time there is an update to the questionnaire a new version will be published. This means you will have to export from all version to ensure all data is collected.

Once you have selected the version you wish to view then click export at the top of the field. This will then show you the patients related to that questionnaire you then click save and export.

This will then save to your designated location as a csv.file for you to upload to the national website.

Top tips
  • check the file by eye for any missing data and chase or correct
  • file name needs to be Episode to enable upload as a CSV file only
  • file order needs to be in the order specified on the NDFA website
  • delete the headings on the file upload, only patient information needed
  • do uploads quarterly, rather than close to final submission date
