System-generated position assignments are all expiring on 31 December 2024

You can use the SYSPOS tool to find affected users in your organisation.

Background

From 31 December 2024, all system-generated position assignments will expire.

National RA have developed version 3 of the SYSPOS tool using Microsoft Excel, which uses CIM reports as an external data source to automatically identify active and inactive users assigned to system generated positions. It can be used by individual Registration Authority hosting organisations, or by Registration Authority service providers such as ICBs who have many child organisations.

Organisations with high numbers of system generated positions in use will benefit from using the tool. Organisations already aware of low numbers of system generated positions in use do not need to use the tool.


Check for SYSPOS positions that are in use

  1. Download the Positions report in CIM with the Position Status filter set to 'Open'.
  2. Open Positions report and filter column G (System Generated?) to equal 'Yes'.
  3. Filter column X (No. of Assigned Users) and ensure 0 is de-selected.

If 'Yes' does not appear as an option in the filter for column G, or if it does appear and there are no assigned users, this means your organisation is not impacted and no further action is required. If there are SYSPOS positions in use, follow the next step.


Download and use the tool

Download SYSPOS tool v3 and follow the user guide within the tool.


Follow-up action in Care Identity Management

  1. Active users* - replace SYSPOS position assignments with a standard position.
  2. Inactive users - revoke SYSPOS position assignments.

* Active Users are defined as users who have logged in within the last 12 months.
