Archiving credentials
Credentials are automatically archived (hidden from default view) to ensure the most up-to-date credential is displayed, but they can also be manually archived or unarchived.
Log onto the NHS Digital Staff Passport employer’s portal using your email address and password.
Note: for extra security, multi-factor authentication (MFA) has been added to the Digital Staff Passport login process. Read our user guide on logging in with MFA.
Select either 'Staff passports' or 'Reviewed staff passports' on the left-hand side to view existing passports. Staff members can appear in either of these screens depending on their Digital Staff Passport status.
All existing staff passports will be shown, along with additional details about the staff member. Select the staff member’s name to review their details.
Scroll down the user profile page to the 'Credentials' section to view existing credentials for this staff member. To see archived credentials, select the check box 'Include archived credentials'.
As an example of automatic archiving, if a staff member shares an updated new starter information credential, once it's accepted the Digital Staff Passport will automatically archive the previous one they shared.
Manually archive a credential
To manually archive a credential, select the name of the credential from the list displayed at the bottom of the staff member profile page.
Full information about the credential will be displayed. Select 'Archive this credential' to proceed.
A confirmation message will be displayed stating that the credential has been successfully archived.
Restore an archived credential
To restore an archived credential, go to the list of credentials. Make sure you have 'Include archived credentials' and select the name of the credential you want to restore.
Choose ‘Restore this credential’.
You'll then see a confirmation message that the credential has been restored.
