Confirming credentials required
How to confirm a staff member's eligibility to start work and move their staff passport from the awaiting credentials/ pending area to the reviewed area of the employer portal.
Log on to the NHS Digital Staff Passport employer’s portal using your email address and password.
Note: for extra security, multi-factor authentication (MFA) has been added to the Digital Staff Passport login process. Read our user guide on logging in with MFA.
Select 'Staff passports' on the left-hand side to view existing passports awaiting credentials/pending credentials.
All existing staff passports will be shown, along with additional details about the staff member. Select the staff member’s name to review their details.
On the staff passport profile, scroll down to the 'Credentials required progress' section to see a status of how many credentials have been completed.
Note: this checklist is pre-set by the Senior Portal Administrator for each staff group/job role and employment type.
The checkboxes are ticked as you accept shared credentials from the staff member. Once all credentials required are accepted, the 'Complete credentials required' button will turn green.
Selecting this button will allow you to move this staff member’s profile from the staff passports awaiting credentials/pending area into the reviewed passports area. You'll be asked to confirm this action by selecting the green 'Complete credentials required' button a second time.
You'll then see a confirmation screen.
At any stage, if you are satisfied that all the pre-employment checks have taken place, you are able to select the red ‘Bypass credentials required’ button.
This will also move the staff member’s profile from the staff passport awaiting credentials/pending area into the reviewed passports area, and you'll see the same confirmation screen.
