Choosing the right employee portal
Making sure you select the correct Digital Staff Passport employee portal when you work at a different trust to the one that pays your salary.
If you work at the same trust that pays your salary
Simply choose that trust's employee portal from the list of registered trusts. This is the correct trust for both your initial Digital Staff Passport registration and logging in to manage your credentials.
If you work at a different trust to the one that pays your salary
The trust that pays your salary is known as your lead employer.
If you're registering for Digital Staff Passport for the first time, choose your lead employer from the list of registered trusts.
You should instead choose the portal of the trust where you're currently working if both:
- you've already registered for Digital Staff Passport with your lead employer
- the trust you work at requires you to have a Digital Staff Passport
What a lead employer does
A lead employer arrangement provides trainees with a single employing trust for the whole of their training programme.
A lead employer holds the contract of employment and delivers the payroll function for a postgraduate doctor or dentist for the duration of their training. The trainee may be working on placement at a different organisation, but the contract of employment and payroll remains with the lead employer.
Who is involved in lead employer arrangements
The lead employer model is designed to be a collaborative operating model, with the responsibilities of the traditional employer shared between 3 major stakeholders:
- The lead employer carries overall responsibility for employment matters such as contracts of employment, employment checks, pay, restrictions and exclusions, and disciplinary matters. The lead employer itself offers a single point of contact, coordinating with all stakeholders including third party agencies like the police and safeguarding.
- The host NHS organisation provides day-to-day management and supervision of training by clinical and educational supervisors while the trainee is based in this location.
- Health Education England (HEE), now part of NHS England, is responsible for the supervision and progress of training. This ensures consistency in the handling and resolution of concerns relating to capability and health matters.
