Managing credentials

How to manage your credentials as a staff member using the Digital Staff Passport service.

Log in to your trust's Digital Staff Passport employee self-service portal.

Note: you will need to have downloaded an access key for your trust’s employee self-service portal before you log in for the first time.

You'll now see a QR code.

Scan the QR code using the Microsoft Authenticator app on your smartphone. To get to the scan function, select 'Verified IDs' in the bottom-right of the screen, then the scan icon in the top-right of the screen.

 

Alternatively, if you’re using your smartphone rather than a computer to complete this process, you can select the green button to connect to Microsoft Authenticator app.

In the Microsoft Authenticator app, if you have more than one access key (for different trusts' employee self-service portals), you'll need to select the correct access key to share.

You’ll then be prompted to 'Share' at the bottom of the screen.

The Authenticator app will notify you that you can return to the previous application. When you return to your browser, the screen will refresh to show you are logged into your trust’s employee self-service portal.

If you have any actions, such as credentials requested from your trust or new credentials to download, you will see yellow notification banners.

Select 'Credentials'.

In the 'Credentials' area you can:

  • view current credentials that you have downloaded into your Microsoft Authenticator digital wallet
  • request credentials
  • view expired, revoked and archived credentials

Select the relevant link to view:

  • Expired credentials - for example employment assignment and temporary placement credentials. You are still able to share these credentials from your Microsoft Authenticator digital wallet.
  • Revoked credentials - credentials that the issuer has revoked (cancelled). These could have been replaced by a more up-to-date credential, or there may have been an issue with the credential. It's recommended that you go to your Microsoft Authenticator app and delete these revoked credentials from your wallet, on the 'Verified ID' tab of the app. This is to prevent attempting to share these credentials in the future, which will fail.
  • Archived credentials - credentials that your trust has archived because they have a more up-to-date credential in its place, or it's not needed to clear you for employment.
