Reviewing, accepting and rejecting new credentials
Help with managing credentials for NHS staff using the Digital Staff Passport service.
Logging in and reviewing credentials
If a trust issues you with new credentials, you will receive notification of this via SMS and/or email. The email you receive will contain a link to log in to the Digital Staff Passport portal to review the credential(s) that have been issued to you.
Note: if you have not previously downloaded your access key to log into the trust’s employee self-service portal, you can select the second link in the email.
The login link in the email will take you to the login page.
You'll now see a QR code.
Scan the QR code using the Microsoft Authenticator app on your smartphone. To get to the scan function, select 'Verified IDs' in the bottom-right of the screen, then the scan icon in the top-right of the screen.
Alternatively, if you’re using your smartphone rather than a computer to complete this process, you can select the green button to connect to Microsoft Authenticator app.
Complete this process and the web page will refresh and you will now be logged into the trust’s employee self-service portal.
A yellow banner will appear across the top of the page that tells you the number of credentials available for review. Select 'Review and add credentials to your wallet' to proceed.
A list of all credentials for review will be displayed. Select 'Review and add' next to a credential to choose whether to add to your digital wallet or reject the credential.
Full details of the credential will be displayed. If the information is correct select 'Accept credential and add it to my wallet'.
If the information is incorrect or a duplicate, you can choose to select 'Reject this credential'.
Accepting the credential
If you choose to accept the credential, you'll see another QR code.
Scan this new QR code with your Microsoft Authenticator app. You'll then see the option to 'Add' at the bottom of the app.
When you've added the credential, return to your browser. You'll see the portal page with a green notification showing that the credential has been successfully added to your wallet. You can then move onto the next credential to review and accept/reject.
Rejecting the credential
If you choose to reject the credential, you'll be asked to provide a reason for the rejection.
If you select ‘Other reason’ you will be prompted to provide more detail. The trust will be notified of the rejected credential and the reason, so it's important to be accurate in case they need to take any further action.
As you add or reject credentials, the notification banner on your home page will update to reflect the number of credentials you have left to review.
This means you can always come back to the trust employee self-service portal to complete your review of credentials to add to your wallet at a later date.
Note: there is a weekly email / SMS reminder, sent out every Monday morning, of any outstanding credentials that you must review and add/reject. This ensures your passport is up to date, so that when you move to a new trust you have your latest credentials ready to share with them.
