Sharing your credentials when you move trusts and receive an invitation
Guidance for staff who have received an invitation to share their credentials with a new NHS trust (credentials that have been previously added to their Microsoft Authenticator digital wallet).
To share credentials with a trust that you are joining, you must first have received and added credentials from your original (current) trust to your Microsoft Authenticator digital wallet. Guidance on how to do this will be available soon.
You will receive an invitation email from the trust you are joining that invites you to sign up to their organisation’s Digital Staff Passport portal.
Select the 'START NOW' link in the invitation email.
Select the option 'I have registered before with this or another organisation' and then 'Continue'.
You'll be shown information on the steps you'll take to share your credentials. You should also review the privacy notice, terms of use and terms and conditions. When you're ready, select the 'Start' button.
You'll be asked to select all credentials that you wish to share with the receiving organisation. Tick all relevant boxes and select 'Continue'. The identity credential is pre-selected as this is a mandatory credential to share.
You'll see a confirmation screen showing all credentials you have chosen to share. You can go back to amend your selection of choose 'Yes, connect to my wallet' if you're happy to proceed.
You'll now see a QR code.
Scan the QR code using the Microsoft Authenticator app on your phone. To get to the scan function, select 'Verified IDs' in the bottom-right of the screen, then the scan icon in the top-right of the screen.
You will then be asked to share your identity credential. Select 'Share' to do so.
Note: If you have more than one credential, Microsoft Authenticator will ask you to select which one you want to share.
If you do not have the credential in your Authenticator to share, you will get an error. To resolve this, go back to the browser and deselect any credentials you do not have from the list and then proceed to share what credentials you do have.
The Authenticator app will notify you that you can return to the previous application. If you are on your smartphone, go back to your mobile browser and, if your identity credential has shared correctly, the screen should now change to 'Create your passport profile'.
On this screen, review the instructions and select 'Continue'.
Enter your email address and select 'Continue'.
You'll receive a 6-digit security code by email. Enter the code into the box on screen, and select 'Continue'.
Enter your mobile number and select 'Continue'.
You'll receive another 6-digit security code, this time to your phone. Enter the code into the box on screen, and select 'Continue'.
Information about your role at the receiving trust will be displayed. This is based on information that the recruitment team has provided.
If the information is incorrect, contact the recruitment team at the trust. If it's correct, select 'Continue'.
You'll see a message confirming that your details have been shared with the trust.
What happens next
The receiving trust will undertake their own identity checks and provide a Digital Staff Passport access key, which will be confirmed via email. This access key will allow you to log into your Digital Staff Passport at this organisation.
If the receiving trust needs any more information from you, you'll need to either share additional credentials, if you have them in your digital wallet, or provide satisfactory evidence to demonstrate confirmation of employment checks or completion of training (you may need to complete new training to do the latter).
