Sharing your credentials when you move trusts, without an invitation

Guidance for staff who want to share their credentials with a new NHS trust (credentials that have been previously added to their Microsoft Authenticator digital wallet), but have not received an invitation to do so.

Sharing your credentials

This guide is for when you know you are moving to a new employer and you want to proactively share your information, without responding to an invitation email.

Select the link for the trust you're moving to on the list of registered trusts.

You will first be asked if you already have access to your new trust's Digital Staff Passport. Select 'No, I do not have access'.

You'll be asked whether you have registered for Digital Staff Passport before. Select 'I have registered before with this or another organisation' and then 'Continue'.

You'll see a page explaining the process and asking you to review the privacy notice, terms and conditions and terms of use. Once you've read and reviewed everything, select the 'Start' button.

You'll see a list of all your credentials. Select each credential you want to share. The identity credential is pre-selected as you will need to share it to onboard with your new trust.

Note: you are only able to share credentials that you have in your Microsoft Authenticator digital wallet.

Select 'Continue' when you've finished choosing your credentials.

A summary screen will be displayed listing all credentials that you have chosen to share. You can go back to choose again if they're not correct, or select 'Yes, connect to my wallet' and then 'Continue' to proceed.

You'll now see a QR code.

Scan the QR code using the Microsoft Authenticator app on your smartphone. To get to the scan function, select 'Verified IDs' in the bottom-right of the screen, then the scan icon in the top-right of the screen.

 

Alternatively, if you’re using your smartphone rather than a computer to complete this process, you can select the green button to connect to Microsoft Authenticator app.

In the Microsoft Authenticator app, select the blue 'Share' button.

You'll then get a notification to say the verification is complete and that you can return to the previous application.

When you go back to your web browser, you'll see a message confirming that the credentials have been shared with your new trust.

Note: if you do not have all the credentials that you have selected to share in your Microsoft Authenticator digital wallet, you will not be able to share any credentials until you have deselected the credentials you do not have. Read more about this below.


If you try to share credentials you do not have in your digital wallet

If you attempt to share a credential that does not exist in your Microsoft Authenticator digital wallet, you will see a screen like the one below.

You will need to go back to the Digital Staff Passport employee portal on your web browser. Return to the page where you selected the credentials you want to share and deselect the credential the Microsoft Authenticator app flagged as missing. You will then be able to proceed with sharing your other credentials by following the instructions above.


If you have more than one of the same type of credential

If you have more than one of any type of credential in your Microsoft Authenticator digital wallet, for example you have more than one identity credential, you will see a screen like the one below.

You will need to choose 'Select a verified ID' and pick the correct identity credential in order to proceed.
