Accessing the web-based SDCS system

New user accounts
Users will be sent an automated email invitation. This will include a link to the online system. An example of this message is shown below.

Please note that this email invite is specific to you as it is your details that are associated with this organisation on SDCS.

If you do not log within 30 days your account will expire – you will then need to contact our National Service Desk via [email protected] to be re-invited to the system.
How to add another user to your organisation
Email NHS England at [email protected] quoting the organisation code and email address of the user to be added to the system.
SDCS/SSO accounts can only be registered to personal work email addresses. Generic, team, shared or personal private email addresses (for example, [email protected], are not accepted).
There are limits to the number of users for each organisation per data collection. In general, one user is allowed for annual collections, up to three for weekly/monthly/quarterly collections and up to six users for daily collections.
User accounts already registered with SDCS
Users will be sent an email invitation. This will include a link to the online system, a link detailing more information about the specific collection and contact details for NHS England if you have any further queries.
How to remove a user from your organisation
Email NHS England at [email protected] quoting the organisation code and email address of the user to be removed from the system. If you call to make a request, you will have to follow it up with an email to ensure that we are not removing access to the system for people who have a legitimate reason for accessing it.
Create your NHS Digital account
To access the web based SDCS system, you will need to register with NHS England to get a Single-Sign-On account. If you already have an account, please proceed to 'Logging into the system'.
Click the link in your invitation email to navigate to the Sign In screen which contains details about the specific collection. Click ‘Sign In’.
Creating an account
From the sign in page, click the ‘Register’ button.
Complete the registration form by filling out each of the fields in the form. Once complete, click ‘Create My Account’.
Please note: These fields are mandatory and need to be completed before you can successfully complete your registration and use the SDCS. If there are any errors in your registration you will be asked to make amendments and re-submit. Once registration has been successful you will be able to sign in to the system using your email address as your username and the password.
Signing in and out of the SDCS system
Once an NHS England account has been created, you can log in to the SDCS system.
Logging into the system
Click the link in your invitation email to navigate to the Sign In screen which contains details about the collection. Click 'Sign In'.
Enter your username and password and click the 'Sign In' button.
You will then be taken to the SDCS home page.
Signing out of the SDCS system
To sign out after completing your submission within the SDCS system:
- Click the 'Sign Out' button to the top right of the screen (as indicated below).
- This will take you to the Sign In screen where you can proceed to sign in again or close your browser.
The system will continue to process your file even after signing out and closing your web browser.
Please note: the system automatically signs out users out after 20 minutes of inactivity. You can log back in using your email address and password as normal.
Resetting your password
You can reset your own password for your SSO account at any time. Please note that the Data Collections service cannot action password resets.
To reset your password, from the ‘Sign In’ page click on the section ‘Forgotten details?’
Once you have clicked on the forgotten details link you will see a second screen which will allow you to reset your password by entering your username or email address.

If you mistype your sign in details you may see the following message:
“You have incorrectly entered your username, password, or both. Please try again. Your account will be locked out after 3 unsuccessful attempts”.
If you forget your password, press the 'Forgotten details?' link. This will take you to a password reset page. An email will be sent to your previously registered email address which will contain the information to help you log back into the SDCS system.
If you change your email address, please email NHS England at [email protected]. The SDCS system will create a new account for you. You’ll receive another invitation email and therefore need to create a new 'Single Sign On' (SSO) account to be associated with your new email address. See 'Creating an account' for more detail.
