Submitting data

If numbers in the form are not displayed correctly

Try changing the screen resolution (using the Ctrl and – or + button).

Data I entered for my organisation has changed or disappeared

  1. Only one user should enter data for an organisation at any one time: If two users enter data at the same time, data from the first user will be overwritten by the second user.
  2. Check that you are reviewing the data for the correct organisation, collection and reporting period.

I can’t see the data when I print to PDF

  1. In the Print dialog box, ensure the layout is set to landscape.
  2. In the Print dialog box, click the down arrow beside More Settings, and reduce the scale. The percentage will depend on the collection, but generally about 70% will ensure that numbers are displayed correctly.

The form won’t allow me to submit the data I have entered

All mandatory fields must be completed before the form can be submitted. Mandatory fields can be identified by a red asterisk beside them.

To save the form without having entered all the data, click the Save as a draft or the Save button at the bottom of the form, which will save the data currently entered, and mark the submission as Draft. You can return to the form later, and continue to enter data.

The difference between submit and save

The submit button saves the data from the form, if it has been fully completed, and exits the form. When data has been submitted, it can be amended as long as the submission window is open by clicking on the Update button in the Submission screen.

The save button will save the data from the form, whether or not it is complete and marks the submission as draft. It does not close the form.

How do I submit data for more than one organisation

You may be authorised to submit for more than one organisation if required. The submissions for each organisation are listed by organisation in the submission screen:

Click on the name of the organisation you wish to submit for, and select the appropriate submission window from the list that appears below it.

What is the difference between a reporting period and a submission window

A reporting period is the period to which the submitted data relates.

The submission window for a reporting period is the time the collection is open for users to submit the data for a reporting period.

For example, a collection may have a reporting period labelled March 2023, and a submission window of 1 April 1 – 7 April, 2023. This means that the submitters have the first week of April 2023 to enter data for the previous March.

I am going on holiday, how do I ask for my colleague to be authorised to submit data on my behalf

Send an email to the business management team for the collection, requesting access for the new user.

Remember to include the name and email address of the new user, and also the name of the organisation and the collection, as listed in DCF.

I missed my submission window how do I enter data

Send an email to the business management team for the collection. If necessary, they will re-open the submission window to allow you to enter your data.

I can’t see any data in a drop down list

It is likely that the code that populates the list is blocked by the your organisation’s IT dept. Contact [email protected] for advice

If you can't enter any data into the form

  1. Check that the submission dates are correct.
  2. Check that you are in submit mode, rather than view mode.
