View and export reports

How to use Care Identity Management to view and export data related to users, requests, smartcards, positions and logins.

Which roles can do this?

  • Registration Authority Manager
  • Registration Authority Agent (Advanced)
  • Registration Authority Agent
  • Sponsors (smartcard and position reports only)
  • ID checkers (user, request, smartcard and position reports)

Reports and filters available

Select the report type below to see the information available to view or export.

Users

(Note: not available to users with the sponsor role)

  • Organisation, listed by ODS code
  • Roles, listed by RBAC code
  • Activities, listed by activity code
  • Smartcard expiry within 7 / 30 / 60 / 90 days
  • Position expiry
  • Whether the profile has an email address associated with it
  • Whether the profile has a National Insurance number associated with it
  • Positions, listed by position name
  • Workgroups, listed by workgroup name
  • Smartcard status, whether active or expired
  • User status, whether the profile is active or not
Requests

(Note: not available to users with the sponsor role)

  • Request date
  • Organisation, listed by ODS code
  • Request status, whether open, completed or rejected
  • Request source, whether Apply for Care ID, CIM or ESR
  • Request type
  • Requested by
  • Completed by
Smartcards
  • Date of issue
  • Date of expiry
  • Expiry within 7 / 30 / 60 / 90 days
  • Holder's organisation, listed by ODS code
  • Type, whether Gemplus, Oberthur or PIV
  • Status, including active, cancelled and expired
  • Number of smartcards held by user

Note that smartcards are also listed in the authenticators report, which was added to the service in June 2025. We will be combining the smartcard and authenticators reports in a future release.

Authenticators
  • Authenticator type
  • Device ID

The first phase of this report was added to the service in June 2025 and does not yet contain all data. For example, the report does not yet show:

  • smartcards with invalid certificates, even if those smartcards appear as active in a user's profile
  • non-smartcard authenticators registered before the start of 2025
  • device IDs for non-smartcard authenticators

Positions
  • Organisation, listed by ODS code
  • Roles, listed by RBAC code
  • Status, whether open or closed
Logins

(Note: not available to users with the sponsor or ID checker role)

  • Organisation, listed by ODS code
  • Roles, listed by RBAC code
  • UUID

If a filter seems to be blank

Please note that some filters can take a few seconds to load due to the large amount of data in Care Identity Management.


How to view reports

From the Care Identity Management start screen, select 'View reports'.

Choose the report type you want to generate from the options available.

You'll now see a landing page for that report type. An example of the requests reports screen is shown below.

If you have selected requests or smartcards, you will see a dashboard and summary data table. In the top-right of the report screen you will see a link to switch to a more detailed table view.

Position and login reports do not include a dashboard or a link for a more detailed view.

Note that the filter options now allow you to view data from a specific date range, rather than all data as was the case in the old Care Identity Service application.

Multiple organisation filter

You can use the multiple organisation filter to see data for organisations that are managed as a group, without having to tick many boxes each time. This allows you to save time and reduce the chances of missing organisations from a selection.

Select 'Multiple organisation filter'.

Enter a set of ODS codes into the text field, separated by commas, to view reports for that group of organisations. Select the plus '+' filter icon to view the data.

You can also use the multiple organisation filter to show all results except those you've listed. Use the minus '-' filter to exclude results from one or more ODS codes.

To clear the filter, use the eraser icon.

How to export reports

To export report data, hover over any data and look for the three dots that appear at the top-right of that data. This works for both tables and dashboard graphs.

Important: the three dots will not appear until you hover over the table or graph of data you want to export.

Select the three dots. From the menu, choose 'Export data'.

From the options displayed next, you'll usually want to choose the 'Data with current layout' option, but other options are available.

The data will now be exported to your local machine.

Note: if you have used the filter options, when you export it will be the filtered data that is exported. To export all data you should reset the filter options before exporting.
