What to do if a staff member tries to share credentials that do not exist
How to proceed when a staff member tries to share credentials in Digital Staff Passport that they do not have in ESR.
The issue
When you come to review a staff member's shared credentials, you see that some of credentials are unticked and greyed out, and you are asked if you want to 'Bypass credentials required'.
The cause
There are two possible causes of this error:
- the employee self-service portal currently allows the user to try to share all possible credentials, before the service has been able to check whether the user has each credential, and users often simply select to share all the credentials they see on screen
- you have requested credentials that the user is unable to provide
What to do
In the employer portal you will see the option to 'Bypass credentials required'.
This option allows you to mark as reviewed the credentials that they do have, and ignore the ones they do not have.
You should accept or reject any credentials that the user has shared successfully before you select the 'Bypass credentials required' button.
To proceed, select this option and then the same 'Bypass credentials required' button on the following screen.
You'll then see a confirmation message.
The service will now bypass those credentials that the user has tried to share but does not have in ESR.
If you have reviewed the credentials that the user has shared and bypassed the credentials they do not have, their passport will now show as 'Active' and appear in the 'Reviewed staff passports' area of the service.
