Signing up when you've had an email invitation

The steps NHS employees should take to register for the NHS Digital Staff Passport service when they've received an invitation by email.

Before you start

1. Set up your digital identity

You can get your ID confirmed by using an approved app (Yoti or Post Office EasyID).

Note: if you do not set up a verified digital identity, you can still use Digital Staff Passport by attending a face-to-face appointment to confirm your identity.

2. Install the Microsoft Authenticator app on your phone

This is where your credentials will be stored. Download the app from:


How to register

First find the email from Digital Staff Passport in your inbox and select the ‘Start application’ link.

When asked if you already have a Digital Staff Passport, select 'No' and ‘Continue’.

Review the privacy notice, terms and conditions and terms of use, then select 'Continue' to confirm you accept each of these documents.

You'll be prompted to download the Microsoft Authenticator app. If you do not yet have it installed, select the link to download and install from the relevant app store.

When you have the app installed, select 'I have this digital wallet set up. Continue'.

Read the details about creating your profile and then select 'Continue'.

Choose whether you intend to verify your identity using a digital identity app or whether you would prefer to attend a face-to-face appointment.

Note: if you choose to attend an appointment with HR, the team at the trust will contact you to arrange this. You cannot book an appointment via the portal.

Once you've made your choice, select 'Continue'.

If you have chosen to share your verified digital identity, you'll be prompted to scan a QR code using the Yoti or Post Office EasyID app app.

Scan the QR code with the Yoti or Post Office EasyID app.

Note: if you have not set up a digital identity yet, you may want to close the QR screen and do this first, before scanning the QR code, otherwise the QR code may timeout while you are setting up your digital identity.

If you are completing this on your mobile, the process will take place in your mobile browser.

Below you can see the next steps as you would see them in the Yoti app.

You'll now see a confirmation screen if your identity has shared successfully.

Once the steps on the app have been completed, your browser will show the information that you are about to share with the trust.

If this information is correct, select 'Continue'.

Note: If this information is incorrect, you should contact the trust recruitment team to arrange a face-to-face identity appointment, or update your details with Yoti or EasyID and start again.

Enter your email address and telephone number when prompted on the Digital Staff Passport portal.

At each stage, a verification code will be sent to the address/number provided. Each code must be entered on the portal to continue. You must enter each verification code within 5 minutes.

Information about your employment type and status will be displayed. If this information is correct, click continue. If this information is incorrect, contact the trust recruitment team.

You will be asked if you know your ESR assignment number (this is optional).

Note: If you are a new starter, you will not know your ESR assignment number - you will only know it if you are a current employee.

Enter your Oriel PIN, if you know it.

You'll now receive a confirmation message that your details have been submitted to the receiving trust.

You'll also receive a confirmation email.

You've now completed all the registration steps. Your information has now been securely shared with the trust’s recruitment team for verification.

You'll receive an email detailing next steps once the recruitment team have completed their checks. This process can take up to 5 days to complete.
