Manage a patient

Guidance on how to find a patient, view their details, and defer, cease or re-instate them into CSMS.

Find a patient

Visit https://cervicalscreening.nhs.uk and log in to CSMS with your Care Identity credentials (smartcard or Authenticator app). See guidance on accessing CSMS if you are having problems logging in, or are logging in for the first time.

The Patient Search page is the first page displayed after logging in to CSMS. To return to the search options from any other page in CSMS, click on the Patient tab.

You will only be able to view patients who are registered with the GP practice you have selected when logging in to CSMS.

You can search for a patient using:

NHS number

Enter the full NHS number (with or without spaces) and click Find patient. CSMS will not return any results on a partially entered NHS number.

If the NHS number entered matches a patient record within the CSMS database, the Patient Summary screen will be displayed.

If the number entered does not return a result, there will be an option to Refine the search and enter demographic details or Search again to re-enter the NHS number if there has been a typo.

Demographic details

The details required for a demographic search are:

  • first name
  • last name
  • date of birth
  • postcode

Enter all known patient details to reduce the number of potential matches returned. If there is more than one match, these will be displayed in list form. 

Records that are searched

You will only be able to search and view patients who are registered with the GP practice you have selected when logging into CSMS.

All records are searched, both active and inactive.

Active

These are individuals who are available for inclusion in the screening programme. They have a ‘live’ status on Personal Demographic Service (PDS).

Active participants will be women, or people with a cervix, assumed alive and living in England or the Isle of Man (if NHS smartcard or Microsoft Authenticator workgroup assignment provides access to this data set) and over the age of 24.

Inactive

These are individuals who are no longer available for inclusion in the screening programme. You may know this as ‘deducted’ status.

Examples could be an individual who has transferred to Northern Ireland, Scotland for example, or their address is not known.

This status also includes individuals who are dead.

Problems finding a patient

If you cannot find a patient in CSMS, it may be because:

  • you entered an incorrect NHS number or demographic details
  • the patient has transferred out of the GP practice you logged in with
  • the patient is not registered as female in PDS (see below for transgender men and non-binary people)

Contact the Cervical Screening Administration Service (CSAS) using their general enquiry form to ask for help locating a patient in CSMS if you think they should be on your GP practice’s list but cannot find them.

Transgender and non-binary patients

Transgender and non-binary people who have a cervix are still eligible for cervical screening but may not be sent routine invitations.  They can ‘opt in’ to receive cervical screening invitations routinely.

Complete and submit the gender opt-in form on the CSAS support page for transgender and non-binary patients who would like to receive cervical screening invitations.

The form includes information for patients that you can print out and provide.


View patient details

Select the required record by clicking on the patient’s name underlined in blue.

The Patient Summary screen for that patient will then be displayed.

You will see the following information within the patient summary tab:

  • first name, name and any previous names
  • next test due date
  • recall status
  • address
  • non responder count

This section displays existing HPV vaccination records for the patient.

Test results

You can view all previous cervical screening test results here, including:

  • test date
  • cytology result
  • HPV infection code
  • action
  • repeat months
  • slide number
  • laboratory details
  • sender details

Routine (A or H) The participant will be recalled after the routine period (that is, 3 years between age 25 and 50, 5 years between age 50 and 65)
Suspended (S) The participant has been sent to colposcopy (or gynaecology) as a result of a sample indicating further investigation is required.
Repeat advised (R) The participant is being recalled earlier than the default recall period
Inadequate The laboratory were not able to provide a result from the participant’s last sample

Defer or cease (remove) a patient

Reasons to defer a patient in CSMS:

  • pregnancy
  • recent test
  • under care of colposcopy
  • under treatment relevant to screening
  • patient wishes to defer

Reasons to cease a patient in CSMS:

  • age (over 65 with no recent abnormal test result)
  • radiotherapy (to the pelvic area which affects the cervix)
  • no cervix (congenital absence, total hysterectomy or trachelectomy)
  • informed consent for withdrawal from the NHS Cervical Screening Programme
  • Mental Capacity Act (MCA)

To cease or defer a patient, first check to see if they appear on the Patients due to be invited or Patients who have not responded lists in the Notifications tab.

If they appear there, cease or defer them from within CSMS.

If they do not appear on either list, complete and submit the appropriate cease or defer form on the CSAS support page.

Automatic ceasing at age 60 and over

A person who attends for routine cervical screening on or after their 60th birthday will be automatically ceased from recall if their last test result is normal with routine recall and they have had no recent abnormal results. This is because their next routine test would be due after their 65th birthday.

When a patient is ceased, they will still appear in CSMS search results with an 'inactive' status.


Reinstate a patient

Reasons to reinstate a patient back into the NHS Cervical Screening Programme:

  • they were ceased in error
  • they have requested to be added back into the Cervical Screening Programme

You cannot reinstate a patient from within CSMS.

In both cases you need to complete and submit a reinstate request on the CSAS support page.

When you are finished, you must securely log out by clicking Logout at the top right of the page.

Closing the browser window or removing your smartcard from the reader will not log you out of CSMS.
