The listing and viewing of birth notifications will predominantly be performed by child health units. Maternity units may also use this functionality.
Birth notifications may be saved for a number of reasons. They may be:
- automatically saved as ‘Complete’ when a successful birth notification is processed
- automatically saved as ‘Failed’ when a birth notification is submitted but fails to return an NHS Number - this does not include circumstances that produce validation errors or as a result of duplicate rows
- saved by the user as ‘Incomplete’ at any time before the previous two states of ‘Complete’ or ‘Failed’ are applied
The List Birth Notification screen
You can list all birth notifications made by a notifying organisation from this screen. You can list Completed, Failed and Saved (Incomplete) birth notifications by selecting the type required.
You need to enter an organisation code and either a date of birth range for the baby or the Saved/Notified date.
All of the birth notifications that meet the your entered requirements will be displayed in a list. Up to 50 birth notifications will be displayed in each page - messages will indicate whether you have more pages of notifications. You can then select individual notifications or a group of notifications by using the tick box to the left of the notification. The top tick box in the title banner acts as a ‘select all’ option.
Extracting the birth notifications
From the list of matching birth notifications it's possible to extract a group of selected birth notifications to the same csv file. The file can then be used for dual keying or as a basis for inserting the birth notification into a non-PDS compliant maternity system. The name and format of the file is covered in an appendix at the end of this guide.
Viewing the birth notifications
Any birth notifications that are selected to be viewed will be displayed in the Response screen. If the notification is complete then the standard actions of printing labels and birth notifications will be allowed along with extraction to a csv file. The name and format of the file is covered in an appendix at the end of this guide.
Completing the birth notification
If the notification is incomplete or failed then the birth notification may be amended and re-submitted for completion.
Retention of saved birth notifications
Birth notifications are retained for a period of time that is dependent upon its status.
- ‘Completed’ Birth Notifications are held for 6 months
- ‘Incomplete’ Birth Notifications are held for 14 days
- ‘Saved’ Birth Notifications are held for 14 days
