Manage users

Guidance for registration authority managers and smartcard administrators. Learn how to update Care Identity profiles of cervical screening staff to allow access to the Cervical Screening Management System (CSMS).

Staff involved in cervical screening need the correct role-based access code (RBAC) (access role) and ‘cervicalscreening’ workgroup assigned to their Care Identity profile before they can log in to CSMS.

Follow the steps below to set the correct permissions for staff who require access to CSMS:

  1. Find user in Care Identity Management. If they do not have a Care Identity profile, follow the steps to create a new user profile for them.
  2. Check they have an appropriate job role assigned to them to access to cervical screening services. You can find a list of job roles (RBAC codes) for cervical screening staff.
  3. Assign the ‘cervicalscreening’ workgroup (for the appropriate organisation) to the user’s profile.
Setting up a workgroup

Organisations that provide cervical screening services should already have a ‘cervicalscreening’ workgroup set up in Care Identity Management.

If your organisation does not have this workgroup, a registration authority manager or advanced agent will need to create a new workgroup named cervicalscreening (lowercase with no space).

Locums and other staff who work for multiple organisations will need appropriate permissions for all relevant organisations added to their Care Identity profile to access CSMS at each one.

Additional workgroups

There are 2 additional workgroups which users may need to be assigned to. One relates to Defence Medical Services (DMS) and the other for the Isle of Man. However, these will not apply to every organisation.

If any users access data for patients relating to these groups (via the current NHAIS/Open Exeter system) then please contact us via the NHS England Customer Portal and we will provide you with further information on the workgroup details.
