How Register with a GP surgery works

A step by step explanation of how the service works including other related services.

Register with a GP surgery works like this:

  1. GP practice signs up for the service.
  2. Patient registers with the GP online.
  3. GP practice receives the patient's registration.
  4. GP practice registers the patient in their own clinical system.
  5. GP practice notifies the patient that their registration is complete.

In the future we plan to replace steps 3 and 4 with direct GP system integration. In the meantime, GP practices can use Robotic Process Automation.

1. GP practice signs up

Your practice must sign up before using the service.

You can do this using a system called Profile Manager.

2. Patient registers with the GP online

Patients can access the service through:

  1. NHS website
  2. NHS App
  3. GP practice's own website

The service will:

  • check they live within the GP practice catchment area
  • attempt to match them to their NHS number
  • give them the option to sign in with their NHS login account to make things easier

3. GP practice receives patient's registration

You can set up your preferred email address in Profile Manager.

The service sends the patient's registration details to your practice's email account.  The email contains a PDF document in a format that mirrors the clinical system.

4. GP practice registers patient in clinical system

You will need to manually register the patient in your clinical system using the information in the email.

This triggers the GP registration process, including de-registering the patient from their old GP and transferring their care records.

You might need to contact the patient for more information in some cases.

5. GP practice notifies patient that registration is complete

This is usually done automatically by Register with a GP surgery.

This uses a separate service called NHS Notify.

For more details, see Telling patients when you accept their registration.

Direct GP system integration

In the future, we will integrate the service directly with GP clinical systems.

This will enable the transfer of registration data without having to manually enter information into your clinical systems. We are currently running a pilot to test this functionality with a small number of practices.

See our roadmap for more information.

Robotic Process Automation

GP practices can use Robotic Process Automation (RPA) to reduce the amount of manual data entry.

This is an interim measure before we introduce direct integration.
