Go live

This chapter highlights important things to remember for go live. Go live is the first day the new system is fully operational.

Go live

Go live happens straight after the cutover and marks the start of your new system being used. 

Depending on your new supplier, it is divided into 2 phases: technical go live and business go live.  

The old system will be in read only mode for a limited time. Make sure to check with your previous supplier that access is not cut off early. Third-party solutions will also come back online during this phase.


Who is involved

The people, teams or organisations who might be required in this stage of the migration are:

  • practice staff 
  • project manager 
  • lead GP 
  • IT delivery partner (such as commissioning support unit) 
  • new clinical system supplier 
  • integrated care boards (ICBs) 
  • trainers 

Go live tasks

Checklist:
  • sign off go live data 
  • notify third parties and switch on linked services
  • recheck data 
  • training on the new system 
  • configure devices 
  • hardware replacement
  • activate smart cards
  • transfer booked appointments

Sign off go live data

Complete data checking activities to verify all data has been transferred successfully. Once satisfied with the migration, sign off the live data. Then confirm completion with the supplier. 


Notify third parties and switch on linked services

When your new system is running, contact third party suppliers and community services. They need to reactivate their services.

This includes:

  • document handling tools like DocMan or Apollo Scan
  • registering new patients from cutover
  • re-entering dispensary and formularies data

Recommendation

Check that all third party services are re-enabled after the cutover. Examples include DocMan and DispensIT.


Recheck data

Recheck the details from the initial data production. Also, check a random selection of patients and verify important reports such as: 

  • Quality and Outcomes Framework (QoF) reports 
  • cytology and immunisation targets 
  • vaccination records 
  • capitation figures 
  • local code remapping

Training on the new system

All practice staff need training on the new system for go live, in particular any new ways of doing things. This can also happen alongside the integration of services into the new system. 


Configure devices

On go live day, configure practice devices, such as:

  • scanners
  • check in boards
  • call waiting boards

Hardware replacement

Any incompatible equipment needs to be replaced and tested on go live day. This equipment was identified in the technical survey.


Activate smartcards

Activate smart cards for all practice staff. This involves setting up roles and locations within the new system.


Transfer booked appointments

Transfer appointments, that were booked in advance, into the new system on go live day.
