Initial data production
This chapter outlines initial data production. This is the transfer of data between suppliers.
Initial data production
Initial data production (IDP) is when a copy of the current system data is provided to the new supplier. They then import it into a test version of their system.
The actual data transfer occurs between the clinical system suppliers. The practice is not directly involved in this process, but the practice must plan ahead and prepare to align with the migration timelines. This will avoid potential delays.
Who is involved
The people, teams or organisations who might be required in this stage of the migration are:
- practice staff
- integrated care board (ICB)
- IT delivery partner (such as commissioning support unit)
- current clinical system supplier
- new clinical system supplier
Initial data production tasks
- suppliers will exchange the initial data extract
- set up access to the new system
- check data against the test criteria
Suppliers will exchange the initial data extract
The old and new system suppliers will manage and exchange the initial data extract. Talk to them regularly to keep up with what is happening.
Set up access to the new system
The new supplier will grant the practice access to the test system as part of the IDP process.
The new supplier will create login credentials for 1 to 3 admin users.
Admin users will be shown how to set up logins for the rest of the practice team.
The new supplier or delivery partner will train users on the system. This will enable them to perform IDP related tasks.
Recommendation
At least 1 member of staff should be involved in this stage. They need to have the knowledge to:
- navigate the system
- identify patients
- set up additional users
Check data against the test criteria
IDP activity allows data checking to begin. The new supplier and/or delivery partner will:
- provide a set of test criteria for data checking
- assist with the initial selection of records
The practice will then need to locate the remaining patient records unaided.
The practice should provide the following to the new supplier:
- a list of the selected patients
- reports such as QoF and target reports
The practice will need to perform data checking tasks in the test system. This is to make sure that the imported patient data matches how it was when it was taken from your current system.

Find out more in DMI20 from the Data Migration Standard. This gives information about how the suppliers can support with verifying:
- accuracy of the data
- completeness of the data
