Part of Clinical system migration guide

Post go live

Post go live is the time after clinical system migration. This is where the practice verifies the data on the new system, using the old system for reference.

Post go live

By now the practice has completed the go live steps and practice staff are using the new system. All data entered from now on will be maintained.

During verification, the practice usually has access to both the old and new systems. Access to the old system is retained for validation, mapping and to cross reference data.

Make sure that current system data and audit trails are accessible and easy to read. Your old system supplier needs to provide support in line with contractual agreements.

Who is involved

The people, teams or organisations who might be required in this stage of the migration are:

  • practice staff
  • integrated care board (ICB)
  • new clinical system supplier

Post go live tasks

Checklist:
  • enter manual data
  • file pathology labs
  • check access to online services
  • access to the old system

Enter manual data

Manual data from cutover can now be entered into the new system.

You will need to re-enter:

  • printed prescriptions
  • patient consultations
  • printed referrals, such as urgent referrals
  • patient results that are not normally sent electronically
  • repeat dispensing patients cancelled in the pre migration

You will also need to re-enter any outstanding scripts on the spine for the Electronic Prescription Service (EPS.

Recommendation

Plan for extra resources to assist with data entry. Or provide cover to minimise the impact on the practice. This should also minimise the time required to complete this activity.

File pathology labs

File and action pathology results as required.

Check access to online services

Confirm that online patient services are available. For example, online booking for appointments.

Patient logins for online services will not transfer over from the old system. They will need to be re-registered.

Check that patients can now register online.

Recommendation

Make it a priority to re-register patients who frequently use the online services.

Access to the old system

Access to the old system is now read only. Practice staff need access to the system for cross referencing data, validation and mapping.

You may need access to the old system for longer than 90 days. Requests should be agreed with the commissioning support unit and may incur extra costs.
