Technical survey
This chapter outlines the purpose of the technical survey and the tasks to complete it successfully.
Technical survey
A technical survey checks if the hardware and software is compatible with the new system.
The technical survey might show the need for extra hardware or third-party configurations. These must be approved by the commissioner.
The practice will sign off on a technical requirements form. Incompatible equipment may be replaced before or on go live day.
Who is involved
The people, teams or organisations who might be required in this stage of the migration are:
- engineer
- new supplier
- integrated care board (ICB)
- delivery partner
- project manager
Make sure you know who will complete this activity as it might be carried out onsite or remotely.
Technical survey tasks
- review hardware at the practice
- check the practice's network
- check compatibility with third-party applications and software
Review hardware at the practice
You should check that all hardware meets the new system's minimum specifications. Examples of hardware to check are:
- desktop PCs
- self check in screens
- call display boards and devices
- portable devices
For dispensing practices, it may be the practice's responsibility to cover the cost of new:
- barcode scanners
- label printers
If you have dispensary stock, you may need to re-enter it onto the new system. You will need to include the following levels:
- minimum
- maximum
- re-order
If your practice has a prescribing formulary, it will not migrate automatically. You will need to set it up on the new system at go live.
Recommendation
Think about what technology your practice might need to support the migration. Now is the time to request new equipment from your delivery partner. Remember that it will need commissioner approval.
It is also a good idea to update the practice hardware asset register as part of your go live preparation.
Check the practice's network
You must check your network in line with the operating requirements of the new system. You will need to upgrade it, if it is not compatible.
Check compatibility with third-party applications and software
The new supplier may install icons for the new system on some devices. This is to enable data checking.
If the icon needs to be on all devices before or at go-live, it is important that you clarify who will do this. If the practice has to do this, you should ensure that you understand how to do it.
You should also identify applications that integrate with the current system. You will need to assess their compatibility with the new system. Examples include:
- DocMan
- Apollo Scan
- DispensIT
Please note
Check with third-party software suppliers to confirm compatibility with the new system. Agree on any necessary actions.
Your new supplier or delivery partner may be able to provide help or information. But it is your practice's responsibility to make sure it is done.
