This chapter describes how to manage the Notifications lists in CSMS

Notifications screen

To review and take action, for any individual on the Notification lists you must have the practice ODS code associated on your NHS Smartcard or Microsoft Authenticator.

There are 4 tabs within the Notifications menu option:

  • patients due to be invited 
  • patients who have not responded 
  • patients to review
  • manage emails

Patients due to be invited

Patients due to be invited

Also known as Prior Notification List (PNL).

Individuals with a next test due date within 10 weeks. If no action is taken, these individuals will be sent an invitation letter from the Cervical Screening Administration Service (CSAS) 6 weeks before their Next test due date.

From this list action can be taken to defer the individual from their next screening event or cease from cervical screening call and recall.


Patients who have not responded

Also known as the NRL, Non-Responder List ore electronic card.

Individuals who have not responded to 1 invitation and 1 reminder. If no action is taken they will be removed from the list after 8 weeks and invited again based on their recall status.

From this list action can be taken to defer or cease from cervical screening call and recall.


Defer

The are 5 options available to Defer an individual from the Patients due to be invited list or the Patients who have not responded list

  • pregnancy
  • recent test
  • under care of colposcopy
  • under treatment relevant to screening
  • patient wishes to defer

To defer an individual:

1. Select Defer

2. Enter all required information as prompted. Parameters are in place to prevent incorrect deferral periods being entered.

An error message will be shown on screen if dates or information outside of these parameters have been entered.

3. Once all details have been entered, review the information to ensure it is correct..

4. You can change any details before Submitting.

Contact CSAS (cervical Screening Administration Service for requests to Defer individuals before they appear on either list.


Cease

There are 3 options available to cease an individual:

  • no cervix
  • radiotherapy (to the pelvic area which affects the cervix)
  • cease for Informed choice or under the mental capacity act

1. Select Cease

2. Enter all required information as prompted. Parameters are in place to prevent incorrect deferral periods being entered. An error message will be shown on screen if dates or information outside of these parameters have been entered.

3. Once all details have been entered, review the information to ensure it is correct.

4. You can change any details before Submitting

Contact CSAS (Cervical Screening Administration Service) for requests to cease individuals before they appear on either list.


To review

Notifications patients to review

This list shows patients that need to be reviewed as they are either:

  • new patients registered at your GP surgery with an abnormal follow-up
  • new patients registered at your GP surgery who are ceased from screening
  • existing patients recently ceased from screening

Patients not reviewed will be removed from the list after 8 weeks.


Manage emails

A weekly email will be sent automatically by CSMS as a reminder to review and manage the Notification lists.

  1. From the Notifications menu option, select the Manage emails tab.

2. Select Add email address.

3. Enter the email address then select Submit.

Receive notification emails

The email address should be a generic email address for the practice and a not a specific individual.


Logging out securely

When you have finished your activities, you must securely log out by clicking ‘Logout’ at the top right of the page.

 

Closing the browser window or removing your Smartcard from the reader will not log you out of NHS CSMS. Your session will remain open until you click 'Logout'.
