Current chapter – Patient search


Access to patient records is defined by workgroup/s assigned to an NHS Smartcard or Microsoft Authenticator.

All records are searched, both active and inactive

Active

Individuals that are available for inclusion in the screening programme. They have a ‘live’ status on PDS

Active participants will be women, or people with a cervix, assumed alive and living in England or the Isle of man (if NHS Smartcard or Microsoft Authenticator workgroup assignment provides access to this data set) and over the age of 24.

Inactive

Individuals who are no longer available for inclusion in the screening programme. Some users may know this as ‘deducted’ status.

Examples could be an individual who has transferred to Northern Ireland, Scotland for example, or their address is not known.

This status also includes individuals who are no longer alive



Search with NHS Number

The complete NHS number needs to be entered as NHS CSMS will not return any results based on a partially entered NHS number. The NHS number can be entered with or without spaces.

When the NHS Number has been entered, click Find patient. If the NHS Number entered matches a patient record within the CSMS database, the Patient summary screen will be displayed. If the number entered does not return a result, there will be an option to Refine the search and enter demographic details or Search again to re-enter the NHS Number in the case it has been entered incorrectly.


Search with demographic details

The details required for a demographic search are:

  • first name
  • last name
  • date of birth
  • postcode

All known details should be entered for a demographic search where possible. This will reduce the number of potential matches returned.

If more than one record has been found to match the demographic details entered, these will be displayed in list form. 

Up to 10 possible records will be displayed on each page. If more than 50 potential matches are returned, further refinement of the search criteria will be requested.

Select the required record by clicking on the participants name underlined in blue. The Patient summary screen for that participant will then be displayed.


Securely logging out

When you have finished your activities, you must securely log out by clicking ‘Logout’ at the top right of the page.

 

Closing the browser window or removing your Smartcard from the reader will not log you out of NHS CSMS. Your session will remain open until you click 'Logout'.
